The Senior Facilities Manager is a strategic leader responsible for overseeing the efficient operation, maintenance, and improvement of all organizational facilities. This role focuses on aligning facilities operations with company goals, optimizing operational costs, ensuring regulatory compliance, and fostering a safe, functional, and sustainable environment. The Senior Facilities Manager will also establish and track key performance indicators (KPIs) to measure success, drive continuous improvement, and support data-driven decision-making.

DUTIES AND RESPONSIBILITIES:

Strategic Planning & Leadership
  • Develop and execute the facilities management strategy in alignment with organizational goals.
  • Oversee budgeting, forecasting, and financial performance of facilities operations, identifying opportunities for cost optimization.
  • Collaborate with cross-functional teams to align facilities initiatives with organizational needs.
Facilities Operations & Maintenance
  • Manage the maintenance and repair of all physical assets, including HVAC, plumbing, electrical, and structural systems.
  • Ensure compliance with local, state, and federal regulations, as well as organizational safety and security protocols.
  • Oversee preventive maintenance programs to maximize the lifespan of building systems and equipment.
  • Implement best practices and innovations to enhance energy efficiency and environmental sustainability.
  • Establish metrics to monitor and improve facility uptime, preventive maintenance completion rates, and vendor performance.
Metric Development & Tracking
  • Define and monitor key performance indicators (KPIs) for facilities operations, such as:
    • Maintenance efficiency (e.g., average response and resolution times).
    • Cost efficiency (e.g., cost per square foot, energy costs, and savings from sustainability programs).
    • Operational uptime and reliability metrics.
  • Utilize data analytics tools to produce actionable insights and drive continuous improvement.
  • Report regularly on performance metrics to senior leadership and stakeholders, identifying trends and recommending adjustments.
Team Development & Leadership
  • Lead, mentor, and develop the facilities team, fostering a culture of accountability, excellence, and continuous improvement.
  • Conduct performance evaluations, establish goals, and provide training to support professional growth.
  • Drive workforce efficiency by ensuring the right balance of in-house and outsourced services.
Risk Management & Safety
  • Ensure compliance with health and safety standards, including OSHA regulations.
  • Manage emergency response plans and systems to protect employees, assets, and business operations.
  • Regularly assess facility-related risks and implement mitigation strategies.
Work Environment
  • Office-based role with regular site visits to facilities under management.
  • May require evening or weekend availability for emergencies or special projects.
Skills & Competencies
  • Strong strategic thinking and problem-solving skills.
  • Expertise in developing and managing KPIs for operational performance and team effectiveness.
  • Proficient in facilities management software (CMMS, IWMS, or similar systems) and data visualization tools.
  • Knowledge of building systems, sustainability initiatives, and workplace safety standards.
  • Excellent communication and collaboration skills.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment.
  • Complete understanding of multi-site facility operations including building and site design, construction, operations, and maintenance as well as operation and maintenance of machinery and equipment.
  • Responsible for observing all laws, regulations and other applicable obligations wherever and whenever business is conducted on behalf of the company. Expected to work in a safe manner in accordance with established operating procedures and practices.

Job Qualifications:
  • Typically requires a bachelor's degree in architecture, engineering, facilities management or a related discipline and thirteen or more years of progressive professional experience in facilities management. May substitute equivalent experience in lieu of education.
  • Must have experience working in a multi-site environment.
  • Must have a complete understanding of multi-site facility operations including building and site design, construction, operations, and maintenance as well as operation and maintenance of machinery and equipment.
  • Requires knowledge of local building codes, standards and regulation as they apply to design, construction, operations, and maintenance of building and building sites.
  • Strong communication, presentation, planning, and interpersonal skills are required as well as the ability to effectively interface with senior level internal and external personnel. Customer focused, must be able to look at long-term trends and emerging requirements, evaluate competing interests, and manage and coordinate multiple tasks simultaneously. Must be able to work extended hours as required.
