Under general supervision, this position is responsible for maintaining the central technological files/documents for one or more areas of the organization.

DUTIES AND RESPONSIBILITIES:
  • Receives, logs, organizes, and files incoming documents. Indexes reports into databases and provides document distribution and efficient storage.
  • Ensures company policy, applicable regulations and customer requirements pertaining to private and proprietary documents are met. Controls access to records centers.
  • Maintains records and summaries for analysis or review.
  • Performs frequent electronic searches of indexed documents for requestors.
  • Monitors author or initiator compliance with company and government policies.
  • May provide additional records and audit assistance to specific functional areas such as quality, proposals, contracts, patents, etc.
  • May coordinate the verification, approval, and processing of document revisions, and track document activity to ensure timeliness and process efficiency.
  • Maintains the strict confidentiality of sensitive information.
  • Other duties as assigned.
  • Responsible for observing all laws, regulations, and other applicable obligations wherever and whenever business is conducted on behalf of the Company.
  • Expected to work in a safe manner in accordance with established operating procedures and practices.

Job Qualifications:
  • Typically requires a High School diploma or equivalent and two or more years experience in document and records control.
  • Must demonstrate a general understanding of document and records control practices and concepts, and full knowledge of applicable policies and regulations.
  • Must be customer focused and possess:
    • the ability to organize, schedule and coordinate workloads to meet established deadlines and milestones
    • ability to lift up to 40 lbs
    • good organizational, analytical, interpersonal, verbal, and written communication skills to accurately document and report, and effectively interface with all levels of employees
    • the ability to identify issues and recognize deviations from accepted practices and processes and resolve moderately complex issues
    • good computer skills
  • Experience with MRO, Supply chain or maintenance tracking software e.g., Naval Aviation Logistics Command Management Information Systems (NALCOMIS), Naval Tactical Command Support System (NTCSS) Optimized Organizational Maintenance Activity (OMA), Catalog Ordering Logistics and Tracking System (COLTS), ULTRAMain, GOLDesp, ILIAS or Ramco.
  • Proven experience in Excel functions and data analysis.
  • The ability to work independently or in a team environment is essential, as is the ability to travel as required.
  • Ability to obtain and maintain a DoD Security Clearance is required.

Salary:$41,290 - $61,375
